The homemade spreadsheet is the most common choice in the shop. It's also the one that exposes you the most, and you don't notice until the numbers stop adding up at year's end.
Almost every electroplating shop starts there: an Excel sheet with the parts in rows, the metals in columns, and a few formulas thrown together years ago by whoever came before. Doing electroplating quotes with Excel seems like the most sensible choice because it's already on the computer, costs nothing, and you know how to use it. The problem is that the sheet gives you a false sense of security: it spits out a number, and you trust the number. But behind that number are dozens of assumptions that age, break, and that nobody reviews anymore.
It's not a matter of being disorganized. It's that quoting in electroplating has too many moving variables for a static sheet to hold them all together without giving way somewhere. Let's look at where it usually gives way.
The heart of every electroplating quote is how much metal actually deposits onto a part. There is a physical coefficient, tied to the metal's density, that turns thickness and surface area into grams of deposit. Here is the uncomfortable part: homemade spreadsheets almost always get this coefficient wrong, sometimes by several times over, and they get it wrong above all on the precious metals. The result is that the spreadsheet leads you to underestimate the most expensive metal you run.
The worst part is that the error is silent. The number that comes out is plausible, the customer accepts, the job starts. Except you are giving away gold, or platinum, or palladium on every batch. And that coefficient, once written into a cell, nobody ever touches again: it sits there wrong for years, replicated in every quote that comes out of that spreadsheet.
Precious metals move constantly. Your spreadsheet does not. In the best case, someone occasionally opens the price list, checks the price of gold and rewrites it by hand into a cell. In the real case, that cell has been frozen for weeks or months.
So you quote on a price that no longer exists. If the metal has gone up, you are working below cost without knowing it. If it has come down, you are out of the market against the competitor who has the fresh figure. In both cases the spreadsheet does not warn you: it keeps showing you a clean, confident number, calculated on an expired price. And updating every cell by hand, every time, for every metal, is exactly the kind of tedious job that gets skipped first in the shop.
A complex spreadsheet is fragile. One row dragged wrong, one cell pasted over a formula, a range that does not stretch when you add parts, and the calculation breaks. Not with a nice, visible red error: it often breaks silently, returning a total that looks normal but is not.
Who checks these quotes, line by line, before sending them? On a full day, nobody. The spreadsheet gets used as a calculator you trust blindly, and its errors walk out the door together with the quote.
Then there is the chaos of the files. The good spreadsheet, the copy on the laptop, the one you emailed to yourself, the version with the edits you never carried over to the other. At some point you no longer know which one is the right one, and two identical quotes go out with two different prices depending on which file was open.
And the memory is missing. When a customer calls you back in six months to redo the same part, tracking down what you quoted, at what thickness, at what price, is an archaeology through files and folders. You redo the quote from scratch, with different numbers, and the customer notices.
On top of all this there is the most trivial and most frequent error: the typo. One zero too many, a comma out of place, a thickness keyed in wrong. In the spreadsheet there is no check that stops you. The wrong number becomes a price, the price becomes a job, and you only find out when the margin does not add up.
Excel doesn't cost you a license fee, but it costs you in two currencies that weigh more. It costs you margin, because every wrong coefficient and every stale metal price works against you silently, batch after batch, all year long. And it costs you time, the time you spend updating cells by hand, hunting for which file is the right one, redoing quotes you had already done.
The point isn't that you're disorganized or that your spreadsheet is badly made. The point is that electroplating quoting has too many variables that move together, the physics of the deposit, the prices that keep changing, the multi-layer treatments, the customer history, for a static spreadsheet to keep them all under control over the long run.
